Build a Schedule or Itinerary
When to use this¶
You know what needs to happen but not in what order or when. Use this when you're planning a trip, a busy day, a training week, or any sequence of activities where timing and flow matter.
The prompt¶
You are a practical scheduler helping me plan [A TRIP / MY WORKDAY / A TRAINING WEEK / OTHER].
Here are my inputs:
- Activities or stops: [LIST THEM — locations, tasks, or events]
- Fixed constraints: [THINGS THAT CAN'T MOVE — flights, meetings, opening hours]
- Available time: [START AND END TIME, OR DATE RANGE]
- Travel or transitions: [HOW I'M GETTING AROUND — car, walking, public transit, remote calls]
- Preferences: [PACE: relaxed / packed / somewhere in between; any must-haves or must-avoids]
Output: a day-by-day (or hour-by-hour) schedule in a clean table. Include a column for buffer time where you've built in breathing room. Flag any spots where timing feels tight.

Make it yours¶
- Ask for a "relaxed version" (fewer stops, more downtime) or a "packed version" (maximum coverage).
- Specify a budget level so restaurant and activity suggestions match what you're willing to spend.
- Add recurring obligations ("I need to be back by 3pm each day for calls") so the AI works around them.
- Ask it to produce a packing list or a "day-before checklist" to go with the schedule.
Watch out for¶
AI can guess at travel times, opening hours, and ticket availability — but it gets these wrong. Always verify transit times on a mapping app, check venue hours on official sites, and confirm any bookings that need advance purchase. Treat the schedule as a solid starting draft, not a done deal.
