Buyer and Seller Follow-Ups

When to use this

You just finished a showing or answered an inquiry. The client left happy, or at least interested, and now you need to follow up before they move on. Use this to get a warm, professional message drafted fast — fill in the brackets, paste, done.

The prompt

Paste this into ChatGPT, Claude, or Gemini. Fill in the brackets. Leave a line blank if it doesn't apply.

You're helping me write a real estate follow-up message to a client.
Draft a short, warm message based on the details below.

Context:
- Type of contact: [showing / inquiry / open house]
- Client name: [first name, or "the Garcias"]
- Property: [address or short description — e.g. "the 3-bed on Elm"]
- What happened: [what they saw, what they asked about, what stood out]
- Any specifics to mention: [a question they had, a feature they loved, a next step]
- Tone: [warm / professional / low-pressure]
- My name: [your name]

Rules:
- Keep it under 100 words.
- Sound like a person, not a template.
- Do NOT make promises or commitments I didn't approve — no "I'll get you an offer by Friday,"
no "the sellers will definitely negotiate."
- End with one clear, easy next step (a reply, a call, a second showing).
- Use ONLY the facts I gave you. Do not invent details about the property.

Before and after

What you start with — your notes after the showing:

Showed the Garcias the Maple Ave place this afternoon. They loved the backyard and the open kitchen. Mom seemed really into the primary suite. Dad asked about the HOA fees — I said I'd look it up. They seemed warm but not in a rush. Want to stay top of mind.

What you get back:

Hi Maria and Carlos,

It was great walking through the Maple Avenue home with you today. That backyard and open kitchen are hard to beat — and the primary suite really does deliver. I'm looking up the HOA details for you now and will send them over shortly.

No pressure at all — just want to make sure you have everything you need to think it over. Happy to schedule a second look whenever you're ready. Just reply here or give me a call.

Talk soon, Jamie

The HOA answer is pending — and the message says so without overpromising.

Make it yours

  • Adjust the tone. "Low-pressure" works well for early-stage buyers. Change it to "professional" for a seller following up after an offer, or "warm" for a long-term client you know well.
  • Add the next step explicitly. If you want them to book a second showing, say so in the specifics field. The closing line will reflect it.
  • Use it for inquiries too. Someone emailed about a listing they haven't seen yet? Fill in the context as "inquiry" and describe what they asked. Same prompt.
  • The AI drafts — you own what you promise. Read every message before you send it. If the draft makes a commitment you're not ready to keep, edit it out. The prompt tells it not to promise, but read before you send.
